PA to Chairman's Office

Part Time – 30hrs per week

An excellent opportunity has arisen for a Personal Assistant to provide support to our CEO and senior directors, based at our Head Office in Caterham, Surrey.  

We are looking for an efficient and professional PA, who is capable of supporting directors at Board level and across multiple functions of the business. The ability to juggle competing priorities and responsibilities whilst providing an effective secretarial and administrative service to the Chairman’s Office, will be critical to success.

About the Role:

  • Provide PA services and diary management, liaising with internal and external stakeholders to schedule meetings. Proactively manage meeting conflicts or special meeting requirements.
  • Prepare and format reports, actions and agendas in preparation of Board/leadership meetings. Coordinate and attend meetings as required and take and distribute minutes
  • Act as the first point of contact for all communication related to CEO/directors including: screening phone calls, taking messages, answering queries, attending to emails and meeting and greeting visitors.
  • Organise company events/conferences. Source venues, arrange catering, accommodation, transport, marketing materials, IT etc.
  • Assist with general office admin tasks including the timely ordering of supplies and equipment, filing, distribution of mail.
  • Participate in departmental projects as required.

About You:

  • Extensive experience gained in the role of Personal Assistant, supporting CEO/senior directors within a fast paced and cross-functional environment.
  • Highly proficient user of MS-Office suite, ideally holding advanced qualifications in Word, Outlook and Powerpoint.
  • A team player with excellent written and verbal communication skills and the ability to liaise with internal and external customers/clients at all levels.
  • Previous experience in organising events.
  • Ability to exercise discretion and act with integrity. 
  • Highly organised, with meticulous attention to detail and good time management skills.
